Terms Conditions Policy

Rice Lake Retreat: Things to Note and Policy

General Store:  We recently added a small general store where you can purchase a variety of items (fishing, personal hygiene, snacks, drinks, etc.)

Bedding/Linen: Please bring your linen, bedding, pillows, towels, toiletries.

PetsNO Pet Policy

Occupancy:
6 Person Cottage:  Recommend up to 4 Adults and remaining children
     >2 Bedrooms each with a double bed and a double or queen Murphy or futon in living area
     >Dinnerware for 6, pots pans utensils, Fire-pit, BBQ (propane included)
     >Stove, Fridge, Coffee maker, electric hot water kettle, toaster oven, microwave
     >Access to all non-motorized water activities (Kayaks, canoes, pedal boat, etc.)
12 Person Cottage: Up to 12 Adults and or Children
      >3 Bedrooms each with a queen bed, one bedroom has a bunk, two queen futons in living area
      >Dinnerware for 12, pots pans utensils, Fire-pit, BBQ (propane included)
      >Stove, Fridge, Coffee maker, electric hot water kettle, toaster oven, microwave
      >Access to all non-motorized water activities (Kayaks, canoes, pedal boat, etc.)

Check In Time: 2 pm but you are welcome to come early and enjoy the resort.

Check Out Time: 12 pm.  Please check out promptly; cabins must be prepared and cleaned for next guest check-in.

Security Deposit: A deposit of $250 per cottage is required and will be returned to you when you check out given that the cabins are in the same condition that it was received.

Waiver: Must be signed at check-in. Please exercise caution and good judgment when using our equipment.

BBQ:  We Provide a BBQ at each cottage with propane.   PLEASE DO NOT PUT CHARCOAL IN THE BBQ!!!

Firepit:  There is a fire pit at each cabin.   Please abide by the Fire Bans posted along Hw 45 by local Fire Chief.

Smoking: We are a smoke-free establishment. No smoking inside the cabins, outdoor smoking permitted. Cigarettes butts should be disposed of appropriately.

Alcohol: Alcoholic beverages can only be consumed in your cottage as this is the law in Ontario (Liquor License Act of Ontario),  unless you are the renting group than the grounds are private to you.

Garbage: Please separate your waste into either recyclable or non-recyclable. There is no wet garbage collection here. Please do not burn your trash in your fire pit.  Please put your Garbage bags in the bin at the entrance and shut the door to prevent vermin from making a mess.  DO NOT leave garbage outside your cabin at any time.

Parking: All cars MUST are to be parked outside of the gates. Cars are permitted on the campgrounds to unload and load.  This is a fire and safety regulation please abide by it.

Activities: Land and Water Activities such as but not limited to Trampoline/Canoe/Kayak/Paddle Boats: All persons utilizing these items MUST wear a life jacket regardless of swimming ability and have an emergency kit on board. Parents assume supervision responsibilities of their children at all times and are required to behave safely. Please note that there is no lifeguard on duty here. Trampoline, Water Toys (Water trampoline), any other water and land sports equipment: Parents must supervise their children on the trampoline at all times and assume all liabilities. Trampoline is to be limited to one person at a time and no inappropriate use of the equipment. Please do not hand off of the net and any damage to equipment through improper use will result in replacement cost by the Holidaymaker.

Canoes, Kayaks, Paddle Board, Pedal Boat – Please leave, launch and land equipment in their designated area.  This is for your safety and will prevent/damage of equipment.  DO NOT drag!! Pick up equipment (use two people as needed).  Bring equipment back on land, put oars, lifejackets away (improper use of equipment or equipment floating away will result in loss of use, no exceptions).  These items are here for your pleasure, for the other guests sharing the ground and for those yet to come in;  be respectful of the equipment and play safe.

Boats: There is a boat launch on the premise. One boat is permitted per cottage rental. For additional boats, please refer to rates.

Additional Overnight Guests: a Fee of $60/person per day

Visitors: Visitors who are staying for the day must see management and an additional fee per person may apply.

Rice Lake Retreat does NOT have a lifeguard and does not provide supervision of minors. Parents must supervise their children, use good judgment and assume responsibility.

Conserve

Hoping you can help

To protect the lake, the Ministry of Environment restricts lakeside cottage to “Holding Tanks” only (instead of septic or sewage lines). The tank sizes are strictly controlled and have a limited capacity. PLEASE conserve your water usage inside cottages:
Do Not take long showers
Do Not run water when washing dishes
Do Not run water when brushing teeth (brush teeth, then run water when needed)
No excess toilet paper in the bowls
Anything else you can do to help to limit drain water is most appreciated
I would hate to bring a truck into empty a tank during your stay.

Electricity
Electricity delivery costs here are 3x that of urban areas. Help keep costs down. Switch off all lights and fans when not in use.

Please keep the noise level to a minimum especially if you are sharing the grounds with other guests

Please separate your garbage into recycling and waste.

Rental Terms & Conditions  (Although this is a binding agreement electronically we will ask your party to sign this upon arrival)

Contract:
The issuance of the booking agreement to the Holidaymaker by Rice Lake Retreat Cottage & Campground shall complete a binding contract between the Renter and Rice Lake Retreat Cottage & Campground.

Payment:
Bookings shall be confirmed in writing by Rice Lake Retreat Cottage & Campground on payment of a deposit (said confirmation does not refer to this Rental Application). Receipt of any deposit prior to the Company’s written confirmation of the reservation shall not constitute acceptance of any booking and agreement to our policies. The balance shall be payable 30 days prior to the commencement of the holiday. If the Holidaymaker books the holiday less than 30 days from its commencement the full booking charge shall be payable upon booking. All payments shall be made to the Company by cheque, cash or money order. There will be a $30.00 penalty if the balance owing is not paid to the company a full 30 days prior to occupancy. There will also be a $30.00 penalty for any payment returned by your bank. All payments made within four weeks of occupancy must be certified cheque or cash.

Security Deposit & Booking Deposit
A damage deposit of $250.00 is required. This must be received a minimum of 1 week before your holiday begins. The deposit will be returned to you once it has been confirmed that long distance charges do not apply to your account. A deposit of 50% of total booking is required to secure cottage.

Alternative Accommodation:
In the highly unlikely event that the Company shall be unable to arrange the holiday accommodation requested by the Renter, the Company shall refund in full to the Renter all monies paid by him/her to the company. A request by the Renter for alternative accommodation and/or dates will be provided only if the original booking time can be re-booked, and will result in an additional administrative charge of $30.00 per change.

Cancellation:
Any cancellation made by the Renter shall be made in writing and addressed to the Company at the address stated at the top of this rental application. On receipt of such notice of cancellation, the company shall endeavor to re-book the holiday accommodation for the entire period of the original booking. If the company is successful in re-booking the holiday accommodation for the entire period originally booked it shall refund to the Renter all monies paid (whether by deposit or otherwise) less a cancellation fee of $100.00 per period booked. If the company only succeeds in re-booking the holiday accommodation for a portion of the period originally booked, it shall refund the monies paid relating to the period re-booked, less a cancellation fee of $100.00 per period booked. If the Company is unable to re-book the holiday accommodation at all then all monies paid by the Renter (whether by deposit or otherwise) shall be forfeited to the Company.

Alterations to Printed Materials:
The information contained in any printed materials is believed to be accurate at the time of printing. However, the Company reserves the right to make alterations thereto and the Company shall endeavor to inform the Holidaymaker of such alterations. If the alterations relate to fundamental elements or services, the company shall attempt to provide comparable fundamental elements or services. If these comparable elements or services prove unacceptable to the Holidaymaker the Company shall bear no responsibility other than to provide an appropriate refund for those unavailable fundamental elements or services. Fundamental elements refer to water systems, plumbing, electrical systems and major appliances (such as fridge and stove). Fundamental elements do not refer to boats, televisions or VCRs. These elements are provided at the discretion of the owner as an added feature for the Holidaymaker’s use. While every attempt will be made to ensure that such equipment is in working order during a holiday, should break down or some other situations occur whereby these elements are not available for the term of the holiday, the company will not take responsibility for replacing or refunding the Holidaymaker for the lack of use of these elements. The Company does not accept responsibility for weather conditions or changes to water levels or conditions at neighbouring cottages.

Number of Persons Using the Cottage, Tent or Trailer
The number of persons present day or night shall never exceed 6 people unless agreed to and signed on this agreement. Holidaymakers who contravene the maximum number of 6 people to small cottage and 12 to large will be subject to immediate eviction without refund.  Unless prior arrangements have been made.

There will be no subletting of the cottage property permitted. Where separate parties will be occupying the property at different time periods, rental applications must be completed for each party. There shall be no camping, tenting or otherwise placing auxiliary accommodation facilities on the property. The Holidaymaker is required to list the names and ages of everyone who will be visiting the cottage on this rental agreement.

Access:
Rice Lake Retreat agents shall be allowed access to the cottage at any reasonable time during the holiday occupancy.

Cleanliness:
The Holidaymaker is responsible for cleaning the cottage at the end of their stay. The cottage is expected to be left in the same condition as arrival. Should extra clean-up be required it may result in a fee of $50.00 per hour charged to the Holidaymaker.

Repair:
The Holidaymaker shall keep the holiday accommodation and all furniture, fixtures, chattels, fittings, and effects in or about the holiday accommodation in the same state of repair and condition as the commencement of the holiday and shall leave the holiday accommodation in the same state of cleanliness and general order in which it was found. Failure to do so, to the satisfaction of the Company will result in a damage/cleaning charge being levied.

Smoking:
Smoking is permitted outside only. Please dispose of cigarette butts properly and do not leave them on the property. Failure to do so may result in an additional clean-up charge.

Pets and other Conditions of Booking:
The Holidaymaker shall abide by the conditions of booking and any other instructions contained in the Household Rules, Cottage Information Sheet and/or as noted on the face of this form. All such conditions apply to everyone occupying the property, whether day or overnight. Any Holidaymaker who contravenes said conditions shall be subject to immediate eviction without refund and/or a penalty of $100.00 per day at the discretion of the company. Strict no pet policy is enforced. The Company takes no responsibility for conditions arising from allergies at the cottage.

Cottage Information Sheet, Household Rules, Directions & Booking Confirmations:
The Company will forward a copy of the Household Rules with the Booking Confirmation. These documents shall be an extension of the Rental Terms and Conditions and the Renter shall abide by all instructions and information contained therein.

Keys:
The Holidaymaker agrees to return the key to the lockbox immediately at the termination of the rental period. The Holidaymaker agrees to pay a $40.00 charge for failure to return the key at the stipulated time.
